Submissions Made Simple for SANDOW

Keith Clements, Creative Operations manager at SANDOW, reached out to Submittable in 2015. He was looking for a better way to accept and manage dozens of submissions that he and staff at NewBeauty, a SANDOW property, were receiving each month. NewBeauty is a print, digital, and multimedia publication which empowers women to make smart beauty decisions.

Keith and his staff used email and fax to collect data and images from doctors and specialists, whose expertise NewBeauty relies on for their content. NewBeauty’s 8-person team was spending over 100 hours each month sifting through those submissions.

Keith and his team wanted to stop spending time deciphering handwritten forms, connecting data to accompanying images, and following up on incomplete information. Basically, said Keith, they had an “antiquated, manual process with a large margin of error…[Our need for] automating the process was crucial.”

After testing several software options, Keith chose Submittable. He liked how easy it was to get started, and he liked the visually pleasing submission forms. It was “Submittable’s back end that clinched the deal,” he says. He knew he needed the reviewing and sorting tools to streamline his workflow, manage lists of submissions, and enhance his internal and external communication.

He got started quickly and liked how effortless it was for healthcare professionals to switch to using Submittable. He finds that they submit more often, and because of the clarity of the submission forms, more accurately. Without having to increase their outreach or marketing, NewBeauty began to receive more and more submissions, which has provided them with a broader range of editorial content. “Submittable has allowed for a seamless, easy process for both internal and external users. We have gained a lot of efficiency,” Keith reports.

NewBeauty’s staff and their submitters haven’t needed much support, but when Keith has had technical questions, the responses from Submittable’s customer support team were quick and upfront. He says, “For those who haven’t ever used something like this, it is helpful to have Submittable and its team. From my perspective, it’s crucial to have questions responded to quickly and with ease. Submittable’s staff has been helpful from the start.”

NewBeauty’s success with Submittable has led Keith to look for ways that other SANDOW subsidiaries can benefit from the software. As he reports, with Submittable, “We can put more effort, time, and focus on other areas of the business.” Submittable looks forward to helping other companies do the same.
